Handover guide for renters

What hosts and renters need to record and photograph at vehicle pick-up and drop-off.

A thorough handover is one of the most important parts of any evee rental. Documenting the vehicle's condition at both pick-up and drop-off protects both the host and renter in the event of a dispute. The more photos and records you take, the better.

Both hosts and renters should complete a handover record at the start and end of every rental.

Vehicle details to record

At the start and end of the rental, both parties should note and agree on the following:

  • Vehicle registration number — confirm it matches the listing

  • Odometer reading (km) — record the exact figure at pick-up and drop-off

  • Battery charge level — note the percentage at pick-up and drop-off

  • Exterior cleanliness — note whether the exterior is clean

  • Interior cleanliness — note whether the interior is clean

Documenting the vehicle condition

Take photos and videos at both pick-up and drop-off. The more thorough your documentation, the easier it is to resolve any disputes quickly and fairly. At a minimum, capture the following:

  • Full exterior — all four sides, front, and rear

  • Interior — seats, floor, boot

  • Dashboard — showing the odometer reading and battery charge level

  • Close-ups of any existing damage — scratches, dents, scuffs, or marks present before the rental begins

Keep all photos and videos for a minimum of 30 days after the rental ends. If a damage claim is raised, evee will request this evidence as part of the assessment process.

Tips for hosts

  • Walk the renter around the vehicle at pick-up and point out any pre-existing damage

  • Confirm the odometer and charge level together with the renter before they drive away

  • Do a thorough inspection immediately upon return and photograph any new damage before the renter leaves

  • Report any damage through your booking within 48 hours of the rental ending

Tips for renters

  • Take photos before you drive off — do not wait until you return the vehicle

  • If you notice damage that has not been documented, raise it with the host at pick-up and photograph it immediately

  • Take a final set of photos at drop-off to confirm the vehicle's condition on return

  • Return the vehicle with at least the same charge level agreed at the start of the rental

If a dispute arises

If damage is reported after a rental, evee will review the evidence provided by both the host and renter to determine liability.
